Teams in Activate
Teams in Activate are groups you can create, edit, and rearrange to give unique views and features to different profiles in your organization. Teams are usually set up when you join Activate, but there's a lot you can do to configure your teams, or even add new ones as you go. For example, you might have a content team to build your content or an access team to handle visitors and reservations—each with unique permissions and feature sets. A member can be a part of as many teams as you need.
There are four default teams:
- Admin: this is VTS staff here to help you out.
- Workplace admin: these users have full control of teams, content, and user interactions—it's usually the property management team at your building.
- Retail manager: shops and amenities in the property can send information about discounts and specials to your channel.
- Workplace member: these are your tenants and visitors.
You can always find your teams in the Teams tab under User Management in the navigation bar.
Invite a new member
To invite a new member or members:
- Go to Teams, under User Management.
- Select a team.
- Click the Invite Users button.
-
Fill in the names and emails—you can add them to a tenant channel here too. If a tenant is selected, all users uploaded in the batch will belong to the same tenant.
- Note: Add and/or remove rows as needed.
-
Click Send invites. You'll send an invite email for them to join.
If you have a lot of users to add at once, you can invite by uploading a spreadsheet in .csv format.
1. Create the CSV file: In a text editor or spreadsheet software, fill out the attached CSV (Download Here) with the names and email addresses of the users you want to bulk invite. Save the file as .csv. Do not include commas in the fields.
2. Upload CSV: Click on Upload CSV and browse to the CSV file. The list of new users will auto-populate.
3. Send Invitation: Select Send to invite all of the users by email to the Team you selected.
Add an existing member
Use the Add User button to search for a member. You can search members in different teams in the same channel or members in a different channel where you're admin.
⚠️ This won't send an email invitation. The member you invite will see the new channel or team the next time they log in. |
Remove a Member
To remove a member, find their name in the team and select the checkbox next to it, then click Remove:
Invitations can be resent using the checkboxes and the Send Invite button. Select multiple members and click on Export to CSV to download a spreadsheet of team members.
Create a team
If you need a new team, just click the New Team button. You can make a public or private team. Public teams can be seen by anyone, and private teams are only visible to the people in that team.
If you have a similar team to use as a foundation, you can export the permissions under that team's settings, then import them when you make the new team.
Edit permissions
Each team can have unique permissions that dictate what a user can do or see in the VTS Activate platform. To edit a team's permissions, click the team you need, then click Edit permissions.
