Once a Reservation's been created, you can browse and manage them under Reservations in the side navigation menu. View all of your reservations in one simple table and get the following information at a glance:
- Reserved space or amenity name
- Time and date of the reservation
- Name and email of the user that made the reservation
- Status of the reservation
- User notes
- Admin notes
You’ll also be able to change the status of reservations, click to view more details, and search directly on the dashboard. Reservations can be searched by amenity name, user info, as well as date range.
Creating Reservations
Reservations come into VTS Activate through content with the Reservation feature enabled. (Among other necessary content features).
With this feature, users can reserve time in meeting rooms, reserve a locker, book a flex desk, reserve the freight elevator, or save a seat for a yoga class.
Note: When removing the Reservable feature from a piece of content, interactions will remain in the list view, but no longer show on the calendar view. It is recommended to unpublish the content. |
Viewing Reservations
To view Reservations, navigate to the Admin portal, and then to Reservations in the left hand navigation menu. Here you can view your upcoming reservations in a list, or calendar format. Toggle between the two views in the upper right corner.
The Calendar view lets you see a day at a time all of your amenities and reservations. Unavailable hours are greyed out. This view is helpful as a visual of what to expect on a specific day.
Click Today or use the Date picker to view reservations across all your amenities. You can search reservations by user name to see their reservations, or by space to see available times.
The calendar view is interactive, and by clicking on a reservation in the table, you can view the reservation name, date and time, company or user name, user notes, admin notes, and interaction receipt link, all at a glance.
You can even change the reservation status right from the calendar view by clicking and then selecting from the drop-down menu.
Editing Reservations
To view more details or make changes, click Edit reservation. This will bring you to the reservation page. Here you can view the member who will be using the reservation, their company, the person who made the request on their behalf, the reservation status, when it was created, the date and time of the reservation itself. You can edit anything on the reservation, and create admin notes.
Admin notes
If you want to save comments for your team on a specific reservation, click on the content and go to the Table panel. Use the admin notes to drop a comment—the most recent comment will always show up on the reservations manager table. If you configured the content to allow a member to add information, it'll show up here as user notes too. Don't worry, your members will never be able to see your admin notes—only other workplace admins.
Exporting Reservations
Any time you want to export your reservations, just toggle to List view, apply your filters and use the Export button at the top right.
Note: Reservation Reports can be exported as a CSV file. The file can not exceed 10,000 rows. |
