The Visitor Log is a great tool for Staff and Admins to see who has a valid Visitor Pass and view past visits. Additionally, Staff and Admins can manage the status of a Visitor Pass, allowing them to check in and out a visitor, cancel their Visitor Pass, or mark them as a No Show. With Visitor Logs, Staff and Admins smoothly manage their visitors in the same platform that they manage their other daily activities.
Scheduled Visits
The Visitor Log automatically appears on today’s date and displays Visitor Passes for today only. You can view Visitor Passes for each day by changing the date at the top. Filtering by status allows you to view Upcoming, Checked-in, Checked-Out, No Show, Canceled, or Withdrawn passes.
Selecting Edit filters opens a sidebar to select additional filters. When changing filters, select Refresh to apply your changes.
Changing a Visitor's status is done by selecting the status drop-down next to the visitor. These status changes will kick off notifications based on what has been set up under Visitor Configuration.
Editing Columns
Columns with a check box next to them are visible in your Scheduled visits report. De-select any columns you don't want to view.
Options include Status, Date, Expected arrival, Expected Departure, Visitor, Visitor company, Notes to staff, Host, Host Company, Submitted by, and Registered from.
Past Visits
Visitors marked with the status of Checked-out, No show, Canceled, Withdrawn, or Expired will appear under Past visits. Unlike Scheduled Visits, the view defaults to the past month of visits.
Search for visitors, change the Date Range, view by Status, or Edit filters to adjust your view. When changing filters, select Refresh to apply your changes.
Editing columns
Under Edit columns you can select which columns you wish to appear on your Past visits report. Options include Visitor, Date, Checked-in, Checked-out, Status, Host, Host Company, Submitted by, and Registered from.
Creating Visitors
Visitor creation can be done on either the Scheduled visits or Past visits page by selecting Create new visit.
If you have multiple Visitor Registration forms, select which you would like to use, otherwise it will open your form automatically.
Note: Your form may look different from the below example based on how yours was configured.
Exporting
Both Scheduled and Past visits can be exported as a CSV. Select Export to view the options of Export Selections as CSV or All Data as CSV.
