Permissions control user access in the VTS Activate platform—they let you configure which features an individual has available to them based on their Team membership. A lot of this will be set up for you when you first join Activate, but just in case—here's a breakdown of every single permission in the platform.
Suggested tip: start with Portal, which has a permission that grants access to the admin view in general.

Permissions overview
You can find permissions when you make new Teams or edit existing ones.
When you make a Team, you select the permissions you want to apply to anyone in that group. Head to User Management > Teams > New Team. From here, name the Team and select the permissions to be applied.
Edit the permissions for existing teams under User Management > Teams > [Team] > Action > Edit Permissions.
Access Control
Access-Control allows users to view access data for CCure and HID Apple Wallet.
- Can view the "Access Control" admin pages
- Can grant access admin permissions to other users
- Can disable mobile access for all users
- Can enable mobile access for all users
- Can enable & disable mobile access for users in their company channel
- Can assign access groups to all users
- Can assign and remove access group for users in their company channel (limited to their assigned access groups)
- Can remove access groups from all users
- Can view access control system credential mappings (CCure, Datawatch, etc.): check access credentials in the Activate platform.
- Can view identity provider credential mappings (HID, etc.): check Apple Wallet credentials in the Activate platform.
Address
- This user has access to update addresses: change the address of the property in property settings.
Admin
The Admin setting grants the user with full admin access to the Channel. This is used for the Admin Team granting VTS employees additional access for Channel setup.
- User has full admin access on this channel: this is a catch-all permission, and lets the user do anything listed on this permissions page.
Analytics
The Analytics permission enables the user to view Dashboard reports and Insights & Reports on the platform.
- This user can see analytics about this channel, including the dashboard: see the dashboard and click into the panels.
- This user can see Access Analytics in this channel: see how often a member scans for access in this dashboard.
- This user can see insights and reports about this channel: see the Insights & Reports tab.
- This user can see insights and reports about visitor management in this channel: view insights about your visitors in this dashboard.
- This user can see insights and reports about work orders in this channel: see work order analytics for this property.
Audience
- Can this user create an audience on this channel: create audiences for targeting.
- Can this user delete an audience on this channel: and delete them.
- Can this user access audiences on this channel: see the audiences portion of the content tab.
- Can this user add content, management channels, and targeting rules to audiences on this channel: configure and target audiences for your content.
- Can this user add content to audiences on this channel: target content to the audience.
Billing and Payments
- This user can create, edit, and delete charge codes for this channel: set up charge codes.
- This user can submit charges on this channel: submit charge codes for users.
- This user can see and edit their company's subscriptions: manage recurring charges for memberships or ongoing services.
- This user can void charges made on this channel: void a charge.
- This user can access and create credit bundles for this channel: manage credit bundles—usually combined with memberships.
- This user can create, edit, and delete price exceptions: see exceptions, special rules that ignore certain product and service settings, usually as part of a lease agreement.
- This user can create, update and delete exceptions for this channel: manage exceptions, special rules for specific products and services per tenant.
- This user can see and pay for their company invoices: see and pay invoices from the tenant side.
- This user can cancel subscriptions created in this channel: cancel a membership for a user.
- This user can access create, edit, and delete products and services for this channel: configure products and services for billing and payments.
Category
The Category permission enables users to only have access to specific content based on its category. If left unchecked, it allows all users of the Team to interact with any content category . Once one or more categories are selected, a user on that Team can only interact with the chosen categories.

Channel
Channel permissions allow for Channel management.
- This user has access to create a sub channel or child channel for this channel: create sub channels.
- This user has access to delete a sub channel or child channel for this channel: delete them.
- This user has access to create a channel relationship for this channel: link channels to target content to them.
- This user has access to remove an existing channel relationship for this channel: remove relationships between channels.
- This user has access to read channel relationships for this channel: see channel relationships, but not edit.
- This user has access to update an existing channel relationship for this channel: edit existing channel relationships.
Channel-Module
Channel-Module grants access to create channel modules in the platform.
- This user has access to create a channel module: turn on a module like work orders.
- This user has access to delete a channel module: turn off a module like visitor management.
- This user has access to update a channel module: update existing modules.
Content
Content permissions are robust to fit a variety of scenarios. The permissions under Content allow for access based on the content type as well as the level of access required such as the ability to create, read, update, delete, and/or publish.
- User can create content of any type on this channel: create any type of content (Notice, Post, Page, Perk, or Promotion), but not publish.
- User can delete content of any type on this channel: delete any content.
- User can use Essensys feature on interactive content: enable the Essensys credit system on reservable content.
- User can use the Menu feature on interactive content: no longer available.
- User can use the Reservable feature on interactive content: add reservable features to content.
- User can delete content interactions of any type on this channel: delete interactions from content.
- User can read content interactions of any type on this channel: view interactions.
- User can update content interactions of any type on this channel: update existing interactions.
- User can create content of type [X] on this channel: create content of a specific type, like a Post, but not publish.
- User can delete content of type [X] on this channel: delete content of a specific type.
- User can publish content of type [X] on this channel: publish content of a specific type.
- User can read content of type [X] on this channel: see existing content.

The Email permission enables the creation and sending of emails to the Channel.
- User can create an email for sending out to this channel: no longer available.
- User can send an email out to this channel: no longer available.
Floor
- User can manage floors for this channel: add and edit floors for access integrations.
Groups
Groups are Teams. These settings allow for editing of User Management on the Team level.
- User can create new User Groups associated with this channel: create a new team.
- User can delete an existing User Group associated with this channel: delete teams.
- User can update a user's primary location: see primary location
- User can read the User Groups associated with this channel: see existing teams.
- User can update existing User Groups associated with this channel: update existing teams by adding users, inviting users, or changing permissions.
Integration
Integration permissions allow users to view and manage the details of an integration.
- Can this user create a Channel Integration on this channel: add integrations in the property settings tab.
- Can this user delete a Channel Integration on this channel: delete existing integrations.
- Can this user read Channel Integrations on this channel: see existing integrations in the panel.
- Can this user update a Channel Integration on this channel: update the information for existing integrations.
Library
Library permissions allow a user to create, delete, read, or update Channel libraries.
- User can create new libraries associated with this channel: create content in the library.
- User can delete libraries associated with this channel
- User can read libraries associated with this channel
- User can update libraries associated with this channel
Messaging and Marketplace
- User can manage Messaging and marketplace for this channel
Media
Media permissions allow a user to create, delete, read, or update media in the library.
- User can create new media on this library: add images to the library.
- User can delete media from this library: delete images from the library.
- User can read this channels media library: access the media library.
- User can update media on this library: update images, i.e. change their name and description.
Merchant
Merchant permissions control access to accepting payments in the platform.
- User can create a merchant (accept payments) account for this channel: set up a payment account like Stripe.
- User can delete the merchant account for this channel: delete payment accounts.
- User can read the merchant account for this channel: view existing payment accounts.
- User can update the merchant account for this channel: update existing payment accounts.
Metatag
Metatag allows users to create, delete, read, and/or update Metatags on the channel.
- Can this user create a Metatag on this channel: create new tags in the library for sorting and reporting.
- Can this user delete a Metatag on this channel: delete existing tags.
- Can this user read Metatag on this channel: see existing tags (anyone can see them in reports once they're made).
- Can this user update a Metatag on this channel: update existing tags.
Payment Account
Paymentaccounts are enabled when a corporate card is used to pay for services rather than a user's personal card in their profile.
These permissions are being phased out and don't affect the platform.
Portal
Portal permissions allow Admin View access. Mobile admin is used for the QR code scanning feature, this allows them to view content, but not create or edit.
- This user is an admin-like user that can access the admin portal: this lets a user see the admin view—it's pretty much essential to all other permissions.
- This user is an admin-like user that can access the admin portal on mobile: this is for QR code scanning, and it lets users view content to access the scanner but not create or edit any content.
Profile
Profile permissions allow the user to edit the Channel profile they are logged into.
- This user has access to update the profile: update the channel profile in property settings.
Property
Property permissions contain a wide variety of settings, from guest management to hardware, maintenance, and even tenant management. These permissions are especially helpful when it comes to Staff Roles.
- This user has access to enable auto setup for properties: only used for accounts with an SFTP process in place.
- This user has access to upload tenants via a CSV upload: upload tenants to the channel in bulk.
- This User can register a guest for this channel: register guests with Visitor Management.
- This User can remove an existing guest for this channel: remove guests with Visitor Management.
- This User can read the list of guests for this channel: view the Visitor Log in Visitor Management.
- This User can update an existing guest for this channel: edit existing guests in Visitor Management.
- This User can view and edit hardware for this channel: view the hardware list and edit items.
- This User can create a new maintenance request for this channel: submit service requests in Work Orders.
- This User can delete existing maintenance requests created for this channel: delete requests in Work Orders.
- This User can read maintenance requests created for this channel: view the service requests in Work Orders.
- This User can update existing maintenance requests created for this channel: edit existing service requests in Work Orders.
- This user can manage tenant company type channels: edit existing tenant channels, or delete them.
- This user can manage content on tenant retail type channels: edit content like promotions on retail channels tied to this channel.
Reservations
Sections
Sections are folders that allow you to group content together. These settings allow the user to create new sections and manage the filters within them.
- User can create Content sections on this channel: make new sections.
- User can remove Content sections on this channel: delete existing sections.
- User can manage the filters for Sections on this channel: create, delete, and edit filters for your sections.
- User can read Content sections on this channel: view existing sections.
- User can update Content sections on this channel: edit existing sections.
Settings
When a user has access to update the security settings of a Channel, it controls access to Profile > Settings, where Channel Configurations are set up.
- This user is allowed to access debugger (on mobile app) for this channel
- This user has access to update the security settings of this channel: edit the property settings.
Subscribers
Subscribers allow the user to invite other Workplace Members to the Channel.
- User can invite users of type Workplace Members on this channel: invite other people to be members of the channel.
Tab
Tabs are the “landing pages” in the Member View. This setting allows the User to create, update and edit Tabs.
- Can this user create a Tab on this channel: make tabs for user navigation.
- Can this user delete a Tab on this channel: delete existing tabs.
- Can this user read Tab on this channel: see the tab management settings in property settings.
- Can this user update a Tab on this channel: update existing tabs.
Templates
Templates allow users to quickly create curated content. These settings allow the user to view, edit and create new templates.
- User can create new templates on this library: make new content templates.
- User can delete templates from this library: delete existing templates.
- User can read this channels templates library: view the existing templates in the library. Note: anyone can see the published templates when they start a new piece of content—this only applies to the library itself.
- User can update templates on this library: edit the existing templates.
Unit
- User can manage units for this channel: add and edit units for access integrations.
Users
Users allow you to set specific user permissions for their specific user roles.
- Property Only: User can add users to tenants of this property
- User can delete a user of any type from this channel: delete any kind of user.
- User has access to read information about other users that were granted by Permissions
- User can invite users of any type on this channel: invite any kind of user to the channel.
- Users can verify the primary email of users on this channel
- User can read the list of users of any type on this channel: see the user list for this channel.
- Property Only: User can remove users from tenants of this property
- User can delete a user of this Role from this channel: delete a user on this specific team.
- User can invite users of this Role on this channel: invite users to this team.
- User can read the list of users of this Role on this channel: see the user list for the team.
- User can search the list of users of this Role on this channel: search the user list for the team.
- User can search the list of users of any type on this channel: search for any kind of user on the channel.

Visitor Management
Visitor-Management permissions control visitor logs and hosts.
- This user has access to select any user as a host for the tenants in a property channel: add or reassign hosts for visits.
- This user has access to edit all visitors pass details for their tenant company: edit the visitor pass details for your individual company or suite.
- This user has access to edit all visitors pass details for the tenants in a property channel: edit pass details for the whole property.
- This user has access to print visitor passes from visitor log - DYMO printer: print pass to a DYMO printer.
- This user has access to read all visitors logs for their tenant company: see a log of visits for your company or suite.
- This user has access to read all visitors logs for the tenants in a property channel: see a log of visits for the whole property.
Webhook
Webhooks are a method of communication between two platforms triggered by an event. This allows you to link out to an app from the Activate platform. These permission settings allow the user to be able to make updates to webhooks in the channel.
- Can this user create a Webhook on this channel: create a webhook in the library to use in a workflow.
- Can this user delete a Webhook on this channel: delete webhooks from the library.
- Can this user read Webhook on this channel: see existing webhooks.
- Can this user update a Webhook on this channel: update existing webhooks.
Work orders
- This user can access the work orders module: see work orders in the navigation menu.
- This user can be assigned to a service request or preventive maintenance task: adds both the team and the users to the dropdown for assignments.
- This user can view all service requests: see every request at a property.
- This user can access the service request settings page: change the settings for service requests.
- This user can edit service request submission data: edit the data on a request that's been submitted.
- This user can link equipment to a service request: link equipment to requests—all other users can see the equipment once it's linked.
- This user can edit team assignment for a service request: assign requests to a specific team.
- This user can edit individual assignment for a service request: assign requests to another user—if this is turned off, you can still assign things to yourself.
- This user can create a service request: create service requests from the work orders module.
- This user can edit the status for a service request: change the status of requests.
- This user can attach files to a service request: attach files like images and PDFs.
- This user can access the equipment page: see the main equipment page.
- This user can access the equipment settings page: edit the equipment settings.
- This user can create and edit equipment: create and update existing equipment.
- This user can access the preventive maintenance schedules page: view the schedules tab in preventive maintenance.
