Locating reports
Insights are located in the Admin Portal under Advanced, then in the Insights drop-down. Select the specific Insight Report you are looking for. For the best experience, we recommend using Google Chrome and allowing third-party cookies.
💡 After adding a new Property Admin to the Admin Portal, please allow 2 hours for the insight reports to refresh after they have logged in for the first time. In future logins, the insight reports will generate automatically for the Property Admin. |
Filtering reports
Filtering your reports lets you hone in on the data you're looking to pull. The filter options create granularity, whether it's for pulling metrics on specific properties, units, or dates.
💡 If you're a Property Admin who manages multiple properties on the Admin Portal, the property you're logged into will be the default property on the reports. |
Adoption Insights filtering
Viewing the Adoption Insights report will help you understand your property's population funnel, adoption metrics, usage trends over time, and sign-ins by unit.
- Property Name: If you have access to multiple portfolios in Activate Multifamily, you can filter by specific properties in the portfolio.
- Tenant (Unit): This filter allows you to pull a report based off a specific unit or units by selecting their name(s) in the drop-down. Is any value will show data for all units.
- Date: Select the date range in which you wish to view adoption data.
Amenities & Reservations Insights Report Filtering
Viewing the Amenities & Reservation Insights report will provide you visibility into usage trends for your amenities, unit utilization, billables generated, and staff efficiency to make impactful decisions about your amenity spaces.
- Property Name: If you have access to multiple portfolios in Activate Multifamily, you can filter by specific properties in the portfolio.
- Tenant (Unit): This filter allows you to pull a report based off a specific unit or units by selecting their name(s) in the drop-down. Is any value will show data for all units.
- Amenity Name: If looking to pull a report on a specific amenity or amenities, select their name(s) in the drop-down. Is any value will show data for all amenities.
- Reservation Start At Date: Select the date range to see reservation start dates. Note: This is not the date the reservation request was created, but rather, the dates for when reservations start.
- Graph Date Granularity: This filter setting allows you to determine how you want the graph to be broken down. This filter's default is By Month but can be adjusted to see the report by day, week, month, or year.
Engagement Insights Report Filtering
The Engagement Insights report lets you see the number of interactions a property's events, news, and posts have received over time.
- Property Name: If you have access to multiple portfolios in Activate Multifamily, you can filter by specific properties in the portfolio.
- Engagement Date: Select the date range in which you wish to see engagement data.

Graph Date Granularity: This filter setting allows you to determine how you want the graph to be broken down.
Visitor Management Insights Report Filtering
The Visitor Management Insights report will provide you with visibility into visitor trends at your property to include visitors coming, the time and day of the week they are visiting, and what units they are visiting. Additionally, you can see what type of visitor passes are being created and which units are creating the most visitor passes.
- Property Name: If you have access to multiple portfolios in Activate Multifamily, you can filter by specific properties in the portfolio.
- Tenant (Unit): This filter allows you to pull a report based off a specific unit or units by selecting their name(s) in the drop-down. Is any value will show data for all units.
- Visitor Date: Select the date range in which you wish to see visitor data.
- Graph Date Granularity: This filter setting allows you to determine how you want the graph to be broken down.
Work Order Insights Report Filtering
The Work Order Insights report will provide you with visibility into trends of work order creation/completion, staffing efficiency to start and complete work orders, and which units are creating work orders.
- Property Name: If you have access to multiple portfolios in Activate Multifamily, you can filter by specific properties in the portfolio.
- Tenant (Unit): This filter allows you to pull a report based off a specific unit or units by selecting their name(s) in the drop-down. Is any value will show data for all units.
- Work Order Date: Select the date range in which you wish to see work order data.
- Graph Date Granularity: This filter setting allows you to determine how you want the graph to be broken down.
Downloading Reports
With Activate Multifamily, you can export your reports out of the platform to share with others.
Downloading Full Dashboard
Step 1
Select the three vertical dots icon in the upper right corner. From this drop-down, select Download.
Step 2
In the pop-up window, select the options for how you would like to download the report. Select Download when complete.
- Format: Select the format you would like the report to be in, PDF or CSV.
- Paper Size: Select the paper size for printing.
- Expand tables to show all rows: This expands the table in the pdf to include all rows.
- Arrange dashboard tiles in a single column: Takes each tile/graph and stacks them in a single column.
- Open in Browser: This option allows you to open the report in a browser as opposed to downloading it.
Downloading Individual Tiles/ Graphs
Step 1
To download an individual tile or graph, select the three vertical dots icon and Download data from the drop-down.
Step 2
In the pop-up window, select the options for how you would like to download the report. Select Download when complete.
- Format: Select the format you would like the report to be in.
- Results: Select if the report should be with visualizations options applied or as displayed in the data table.
- Data values: Select if the spreadsheet should be Formatted or Unformatted.

Number of rows to include: Options for rows include the Current result table, All results, and Custom.
- Note: There is a limit of 500 rows when downloading from the individual tile/ graph so if you need more than 500, select All results or Custom.
Scheduling Insights Report Downloads
If you want to receive the reports automatically on a scheduled cadence, that can be set up!
Step 1
Select the three vertical dots icon in the upper right corner. From this drop-down, select Schedule delivery.
Step 2
Under Settings, complete the information of how and when you want to receive the reports.
- Recurrence: Set how frequently you wish to receive these automated reports.
- Time: What time they should be sent.
- Destination: Select where the report should be sent.
- Email address: Designate the email address(es) that should receive the reports.
- Format: Select the format you wish to receive the report in.
Step 3
The report will take on the designated filters set in the dashboard, but can also be set under Filters. The filter options that appear will be based on the Insights report you are scheduling for download.
Step 4
Under Advanced options, you can set additional specifications to the report.
- Custom Message: Add a message to be included in the body of the email.
- Include links: Select the checkbox if you wish to include links in the report.
- Expand tables to show all rows: This expands the table in the pdf to include all rows.
- Arrange dashboard tiles in a single column: Takes each tile/graph and stacks them in a single column.
- Paper size: Select the paper size for printing.
- Delivery timezone: Select the timezone in which you wish to receive the report. This will be applied to the time specified in Settings.
Sorting tables
To re-sort a table in your Insights reports, select the up and down arrow icon. This will allow you to re-sort the table by other columns.
